We are looking for a dynamic Service Coordinator with strong organizational skills and the ability to work in a fast-paced environment. The ideal candidate will possess a positive attitude, excellent communication skills, and will be customer focused. You will ensure that the team is compliant with the policies and procedures of the company and offer consistency in service delivery.

  • Answer service calls, quote approvals and maintenance contracts submitted by customer via email or telephone
  • Create and schedule work orders for repairs, adhering to scheduling guidelines and work order priority
  • Daily scheduling and managing prioritization of repairs for service technicians
  • Reviewing all job files given to technicians – documenting scope of work, time requirements, job details, photos, and purchase orders
  • Managing and maintaining key relationships between customers and service technicians
  • Coordinating, tracking and follow-up of customer quotes/recommendations inclusive of converting of quotes and sourcing of parts/equipment with vendors
  • Full documentation and close out work orders, audit process to verify profitability of jobs in a timely and accurate manner
  • Develop, track, and audit preventive maintenance schedules with corresponding reporting
  • Update service software to maintain work orders, customer database, equipment and history
  • Perform routine clerical duties, including daily/weekly/monthly reporting, data entry, answering telephones, and assisting customers
  • Maintain documentation related to service, training, certification and licensing
  • Review, audit and approve technician timesheets, overtime submittal and expense submissions
  • Ensure contractual performance needs exceed quality standards and within agreed upon budgets
  • Keep records of customer interactions, transactions, recording details on inquiries, complaints, comments as well as actions taken

Here are the skills you bring to the team

  • Post-Secondary education with focus on trades is an asset
  • Minimum 3 years experience in a service coordinator role
  • Exposure in the HVAC, Electrical, Plumbing or Construction industry is considered an asset
  • Exceptional customer service through clear and consistent written and verbal communication
  • Demonstrated problem solving skills and ability to work under pressure
  • Ability to work and adapt to a fast-paced and changing work environment
  • Proficiency with Microsoft Office applications, and other office software and systems
  • Energetic, self motivated and results-oriented
  • Ability to work with and support with a diverse team
  • Ability to hold team accountable and drive results
